Compress a PDF for Email or Portal Limits

Two different caps get searched as “compress pdf for email.” One is Gmail (and similar webmail). The other is a government or exam portal that wants 100 KB, 200 KB, 500 KB, or 2 MB. FlashKit Tools has both a PDF compressor and a Split PDF size mode. Using the wrong one wastes a readable scan.

The 200 KB button is walked in compress to 200 KB. Size-split packing is in split a PDF by file size.

Match the cap

Portals: Target Size in KB. Gmail: 25 MB before encoding; split into ~18 MB parts if the other party is not on Gmail.

Gmail vs a 200 KB box

Gmail’s attachment cap is still 25 MB. Files over that become a Drive link — see Gmail attachment size. Workspace documents that 25 MB is checked before encoding (sending limits), so a 20 MB PDF can leave Gmail. Outlook.com and many company servers count the encoded message (about a third larger), so parts around 18 MB are the heads-up size already used on Split PDF. FlashKit Tools does not publish made-up Airtel, Jio, or “office Wi-Fi” limits.

A portal “200 KB PDF” is the whole upload. Compress. Do not split into 18 MB pieces.

Decision fork

  • Every page, photo-heavy, cap in KB or 1–2 MB — Target Size on the compressor. 1 KB = 1,000 bytes.
  • Every page, already JPEG-tight, cap in MB — split by file size. Compress will not invent a smaller JBIG2.
  • Only some pages — split by range. Smaller because pages left.
  • You still have the JPGs — rebuild with JPG to PDF under a size mode instead of recompressing a fat export.

Step-by-step for a portal

  1. Read the form. Write down 200 KB vs 500 KB vs 2 MB.
  2. Drop the unlocked PDF on PDF compressor. Pick that preset. Tick grayscale only for mono scans.
  3. If the amber note says closest-achievable is still over the cap, split off annexes or lower DPI in Quality mode and accept the softness.
  4. If you compressed parts separately, Merge PDF only if the portal wants one file again — merging uncompressed parts undoes the work.

Digital signatures usually die on any rewrite. Compress a copy. Encrypted files are rejected here on purpose.
