Compress vs Split PDF for Email Size Limits (2026)

Most “the PDF is too big for email” threads jump to a random compressor that uploads the file. Two local options on FlashKit usually settle it: shrink the same pages, or send fewer pages. They are not interchangeable.

Typical caps (always check yours)

  • Consumer Gmail and many Outlook.com accounts sit around 25 MB per message. Work gateways are often 10 MB.
  • A “25 MB” product cap is not the same as a 25 MB file after base64. Leave headroom.
  • If the recipient’s server is the bottleneck, a cloud link they did not ask for is worse than a smaller PDF.

Compress first when you still need every page

The PDF compressor rewrites unused objects and recompresses embedded JPEG photos with a quality slider. It does not upload the file. Start around 70–80% for photo-heavy exports. If the new file is larger, the source was already tight — keep the original. Scanned pages stored as JBIG2 or CCITT, vector drawings, and linearized files may barely move. This is not a “10 MB to 200 KB” flatten-to-mush ad.

Try a local compress

JPEG recompress + rewrite in this tab. The UI shows before/after bytes so you can keep the original.

Split when the extra pages are optional

If annex B is 30 scan pages the other party does not need today, extract 1–8 with Split PDF and send that. You have not compressed anything; you have removed pages. How-to: split a PDF in the browser.

Send fewer pages

Ranges such as 1-8. Combined file or a ZIP. Encrypted PDFs are rejected.

Open Split PDF

A 60-second decision

  1. Do they need every page? If no, split.
  2. If yes, compress once and compare bytes. Keep the smaller file.
  3. If it is still over the cap and the extras are required, use the channel they already approved (portal, SFTP), not a random file host.

Merge is the wrong tool for size — it adds pages. Use it only to reassemble parts you already shrank: merge vs split.

What stays in the browser

FlashKit’s split, rotate, merge, compress, and Word-to-PDF tools run in the current tab with pdf-lib (Word-to-PDF also unzips the .docx locally). Those pages do not upload the file to FlashKit. Encrypted PDFs are rejected. A crashed or closed tab drops the in-memory copy. Other FlashKit tools — SEO audits, social downloaders, Gemini captions — do use the network after a disclosure. Do not treat the whole site as “never sends data.”
